Executive Assistant with Nursing Background
Job Type: Full-time
Job Overview: Established cardiologist is seeking an Executive Assistant with a nursing background (RN or LVN) to support in daily schedule, coordinating travel and speaking events as well as assist with some patient coordination. This role demands a dynamic individual who can seamlessly transition between administrative tasks and limited clinical responsibilities, ensuring the highest level of patient care and efficient clinic operations.
Key Responsibilities:
Administrative Duties:
● Manage the cardiologist’s calendar, schedule
appointments, and coordinate meetings.
● Handle patient records, ensuring confidentiality and
compliance with healthcare regulations.
● Draft, edit, and distribute clinic correspondence, reports,
and presentations.
● Coordinate with other healthcare professionals, insurance
companies, and external agencies.
● Organize and maintain the cardiologist’s professional and
personal files as well as Curriculum Vitae.
● Handle communications, travel arrangements, expense
reports and other logistical tasks related to professional
and personal travel.
● Handle incoming and outgoing communications, ensuring
timely responses and maintaining confidentiality.
● Handle accounts payable, staff time sheets and reporting
for payroll.
● Assist in managing the cardiologist’s business ventures,
ensuring deadlines are met and operations run smoothly.
● Take on ad-hoc projects and tasks to support the
cardiologist & diverse needs.
Limited Clinical Duties:
● Supervising cardiac stress testing associated with treadmill
exercise or PET imaging.
● Take patient histories and vital signs and prepare patients
for examinations as needed.
● Assist with ordering new medications and refills for
existing medications.
● Keep inventory of medical supplies and order new supplies
as needed.
● Ensure all medical equipment are maintained and up to
date.
● Coordinate with the medical team to ensure optimal patient
care and efficient clinic operations.
Communication:
● Serve as the primary point of contact between the
cardiologist and patients, staff, and other healthcare
professionals.
● Address patient inquiries, concerns, and feedback in a
timely and empathetic manner.
● Oversee the professional and personal websites and
ensure patient reviews on social media.
● Facilitate effective communication between the
cardiologist and other departments.
General Duties:

things.
● Attention to detail is needed.
● Be a problem solver. Complete tasks in a timely manner.
● Ask for help when needed. You are not expected to solve
everything yourself.
● Be available to help and guide team members.
● Stay updated with the latest advancements in cardiology
and nursing best practices.
● Participate in continuous professional development and
training sessions.
● Adhere to all clinic policies, procedures, and healthcare
regulations.
Qualifications:
● Proven experience as an executive assistant or in a similar
administrative role.
● Strong knowledge of medical terminology, especially related to
cardiology.
● Experience as a licensed nurse; RN or LVN.
● Excellent organizational, communication, and multitasking skills.
● Compassionate and patient-centric approach with a
commitment to providing the highest level of care.
